Who is responsible for your information?
Oenologue Wine Consultancy (“OWC”, “we”, “us”) is operated by Dr Akshay Baboo, who is responsible for deciding how and why personal information is used for the consultancy and this website.
For privacy questions or requests concerning your personal information, please contact Dr Akshay Baboo at info@owc.wine.
Information we collect
When you contact us, we may receive your name, email address, telephone number, organisation, project location and the information you include in your message. If you become a client, we may also hold information needed to deliver our services, manage the relationship and maintain business records.
Our hosting and security providers may process technical information, such as IP addresses, browser details, pages requested and access times, to operate and protect the website. While access is restricted, the hosting service also processes account and access information to manage authorised visits.
Please avoid sending sensitive personal information unless it is necessary and we have agreed an appropriate way to receive it.
How the enquiry form works
When you select Send enquiry, the form sends your name, email address, organisation, project location, selected area of support and message to FormSubmit, which processes the submission and forwards it to info@owc.wine. FormSubmit may also process connection and security information to check submissions and prevent spam. Sending the form takes you to its submission and verification page; after successful submission you return to this website.
We use this information to respond to your enquiry. Submitting the form does not subscribe you to a mailing list. You can also contact us directly by email.
Why we use your information
We use personal information to respond to enquiries, discuss projects, prepare proposals, provide agreed consultancy services, manage client relationships and invoices, maintain business records, protect the website, and meet legal obligations or establish or defend legal claims.
We rely on contract where processing is necessary to provide services to you or take steps you request before entering a contract.
For enquiries made on behalf of an organisation, business administration and security, we rely on legitimate interests: running our consultancy, communicating with relevant business contacts and protecting our services. We consider your rights and reasonable expectations when doing so.
We rely on legal obligation where we must retain or disclose information to comply with applicable law.
You choose whether to contact us. Without sufficient contact or project information, we may be unable to respond or provide the requested service.
Who receives your information?
Where necessary, information may be handled by providers supporting our website hosting, email, IT, accounting and professional advice. We share only what is needed for the relevant purpose. We may also disclose information where legally required. We do not sell personal information.
The website is hosted through OpenAI’s ChatGPT Sites, email delivery uses Microsoft 365, form submissions are processed by FormSubmit (Devro LABS), and domain registration is managed through GoDaddy. These providers also handle some information for their own account, security and service purposes under their respective privacy notices:
International processing
Our hosting, email and form-delivery providers operate internationally, and some processing may take place outside the UK. The location depends on the service and the applicable provider arrangements; we do not promise that all information stays in the UK.
For personal information processed on our behalf through ChatGPT Sites, OpenAI sets out its UK transfer arrangements, including standard contractual clauses with the UK Addendum, in its Sites Data Processing Addendum. Microsoft describes its processing and transfer terms in its Products and Services Data Protection Addendum.
You can contact us for further information about the safeguards applicable to your information and how to obtain a copy.
How long we keep information
We keep personal information for as long as reasonably necessary for its purpose and periodically review whether it is still needed.
For enquiries, we consider whether discussions remain active, whether follow-up is reasonably expected and whether a business relationship develops. Client and financial records may need to be retained longer to meet accounting, legal or contractual requirements.
FormSubmit states that it retains form submissions in its submission archive for 30 days. Once an enquiry reaches our email system, we apply the retention criteria above. We delete or anonymise information when it is no longer needed. Information retained for a dispute or legal requirement is limited to that purpose.
Cookies and website technology
OWC has not added advertising trackers or analytics tools to this website. The form sends information to FormSubmit only when you submit it. A hidden field helps filter automated spam. FormSubmit may present a security check, including Google reCAPTCHA, before accepting a submission. Google explains how it handles information in its privacy policy.
Hosting, security and sign-in services may use cookies or similar technology to operate the service, maintain sessions and manage authorised access. OpenAI explains its own use of cookies and related information in its privacy policy linked above. We will update this policy and any necessary controls before adding optional tracking technologies.
Your rights
Depending on the circumstances, you may ask us to access, correct or delete your personal information, restrict its use or provide it in a portable format.
You have the right to object to processing based on legitimate interests, including for reasons relating to your particular circumstances.
Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect processing carried out lawfully before that point.
To exercise your rights, contact info@owc.wine. We may need to verify your identity before responding.
We do not use your personal information to make solely automated decisions that have legal or similarly significant effects on you.
Concerns and complaints
Please contact us if you have a concern about how we handle your information. You can also complain to the UK Information Commissioner’s Office through ico.org.uk.
Changes to this policy
We will update this policy when our services or information-handling practices change. The date at the top shows when it was last revised.
